This policy explains what Docmino collects, why it is used, who processes it, and the controls available to account owners and respondents.

    Who operates Docmino

Docmino Inc. operates the Docmino website and applications. This policy applies to account holders, visitors, and people who respond to documents created with Docmino.

    Information we collect

    • Account information, such as your name, email address, profile, authentication details, and account preferences.
    • Content you create or submit, including documents, responses, signatures, uploaded files, comments, and media.
    • Service activity, such as feature usage, AI usage counts, device and browser details, logs, diagnostics, and approximate location derived from an IP address.
    • Subscription and transaction details. Payment card information is handled by Stripe or the applicable app store rather than stored directly by Docmino.
    • Messages you send to support or through contact forms.

    How we use information

    • Provide, secure, troubleshoot, and improve the service.
    • Save, publish, share, export, and process documents and responses according to the choices made by the document owner and respondent.
    • Run requested AI features, process subscriptions, prevent abuse, provide support, and communicate service changes.
    • Understand aggregate product usage and meet legal obligations.

Where data-protection law requires a legal basis, Docmino relies on:

    • Performance of a contract to create accounts, host and publish documents, process requested features, provide support, and administer subscriptions.
    • Legitimate interests to secure the service, prevent fraud and abuse, diagnose failures, and improve product reliability, balanced against the rights of affected people.
    • Consent for optional web analytics and similar processing where consent is required. Consent can be rejected or changed through Cookie settings in the website footer.
    • Compliance with legal obligations, including applicable tax, accounting, law-enforcement, and regulatory requirements.

Document owners are responsible for identifying the legal basis that applies to personal information they collect from respondents.

    AI and service providers

Docmino uses service providers to operate the product. These currently include Amazon Web Services for hosting and storage, Google Gemini and OpenAI for AI generation and related processing, Stripe and app stores for payments, and Google Analytics and Microsoft Clarity for product analytics. Content is sent to an AI provider only when an AI feature requires it. These providers process information under their own terms and Docmino's agreements with them.

    Google Docs imports

The Docmino Google Docs add-on reads only the document content you explicitly choose when preparing a guide: selected text, the current tab, or all tabs. It captures text, headings, lists, web links, and tables. It excludes images, comments, headers, footers, embedded objects, and exact layout, and does not modify the Google Doc or connect your Google account to Docmino for ongoing access or synchronization.

When you choose Continue in Docmino, the prepared title, source text, source scope, guide format, and optional instructions are sent to Docmino. The source is held in that browser tab's session storage to support generation and recovery for up to one hour. It is removed after a completed guide is successfully saved or when the tab is closed. The import expires after one hour; expired source is removed when the tab checks it again, including when reopening the guide. Source text is not placed in URLs, cookies, analytics events, or import-handler logs. A small import reference may remain in tab storage for attribution after source removal.

When you generate the guide, Docmino sends the source and your request to the applicable AI provider. The generated guide and its conversation are saved through Docmino's normal document workflow and follow the retention and access controls described in this policy. New imported guides start as private drafts. Optional analytics measure import, completed generation, preview, signup, and link copying without including the source text.

    Cookies and optional analytics

Docmino uses necessary browser storage for authentication, security, and saved preferences. Google Analytics and Microsoft Clarity do not load on the website until a visitor accepts optional analytics. Visitors can reject optional analytics on the consent banner and revisit their choice through Cookie settings in the footer.

    International transfers

Docmino is operated from the United States and uses providers that may process information in the United States and other countries. Those countries may have privacy protections different from where you live. Contact Docmino for information about the providers and transfer safeguards applicable to your use of the service.

    Published documents and response owners

A published document may be accessible to anyone with its link unless its owner enables access controls. The document owner determines what a document asks for and is responsible for giving respondents appropriate notice, obtaining required consent, limiting collection, and handling exported response data lawfully.

    Retention, export, and deletion

Document owners can export individual documents as Markdown, HTML, or PDF. Account and document content is retained while the account remains active unless the account holder deletes it sooner. Account holders can permanently delete their account from account settings. Deletion removes active account data, subject to limited retention where required for security, fraud prevention, billing, legal obligations, and dispute resolution. Deleted information may remain in time-limited backups until those backups rotate out.

Docmino does not currently promise one fixed public backup-expiration period because schedules vary by system and contractual requirements. Organizations that require a defined deletion or backup schedule should obtain that commitment in a Company agreement before uploading sensitive information. Contact us if you need help accessing or deleting data that is not available through the product.

    Sensitive information and children

Docmino is not currently offered as a HIPAA-compliant service and should not be used for protected health information or similarly regulated data without a separate written agreement. The service is not directed to children under 13. Organizations working with minors are responsible for age-appropriate consent and supervision.

    Your choices and rights

Depending on where you live, you may have rights to access, correct, export, restrict, object to, or delete personal information. You can also manage browser privacy controls and withdraw optional consent. Contact us to make a request; we may need to verify your identity.

    Changes to this policy

We will update the effective date when this policy changes and provide additional notice when a change materially affects how personal information is used.
